Most other services have a fixed fee for their basic MIS ranging from upwards of £8,000 regardless of having 1 or 1000 learners, it's a standard fee. Adding an ePortfolio to your MIS could be a very expensive add on and you'll probably need to factor in over £20,000 on top of your base MIS costs! Not to mention additional fees in the multiples of throusands for eLearning and recruitment CRM's too.
We know this because clients come to us after spending a great deal of time researching the market and after countless meetings and demos they receive proposals which are frankly out of their price range. One such example is Maureen, she has a flourishing care business and through their new training department they need a MIS system to support delivery of their first lead AEB contract. Learner numbers will be very small at first, less than 25 so when their lowest proposal was 30k they realised there would be ZERO return on their investment for many years to come!
We proposed Athena MIS 25 Premium at £2,700 per annum or £200 per month, that's a staggering £27,300 saving in the first year!

Over the last three years Dave's company has grown its provision from 1 AEB lead contract to several, across many funding streams including apprenticeships as well as a large amount of subcontracted delivery.
Drowning in paperwork used to be the norm in the training sector but things are definitely changing with the need for eLearning and online forms becoming the new normal. Dave’s annual Athena contract was up for renewal and as part of their due diligence he compared the MI systems on the market and received several quotes. Many of the quotes included different systems being plugged together to mirror what they have with Athena MIS but without the exceptional support, easy development process and the very cost-effective price tag. The nearest alternative was £37,000 per annum. Even when stepping up to a Premium licence to include eLearning creation and eForms, staying with Athena Spectrum saved an impressive £19,000!
10 Apprentices* is an initial licence fee to support training providers new to apprenticeship delivery. If your current ILR has up to 10 apprentices then your licence fee will stay at this level, more than 10 apprentices the licence fee will increase to the published rate.
25 Learners** is our entry level licence which allows for up to 25 learners from any funding stream other than apprentices.

Many independent training providers (ITPs) aspire to become lead providers, drawn to the financial benefits of eliminating management fees. However, the true cost of becoming a lead provider often goes overlooked. Managing compliance, funding rules, and contractual obligations requires specific skills, which can make those 20% management fees seem like a small price to pay in comparison.
Based on our experience working with numerous training providers, we've found that 99% of our clients sought our assistance after years of successful subcontracting, realising the hidden costs and challenges associated with lead provider status.
To manage compliance, funding rules, and data effectively, you have three options:
1. Hire a compliance person or team: This can be costly and time-consuming.
2. Outsource to a consultancy company: This can be expensive, but it offers immediate expertise.
3. Invest in a comprehensive MIS system with compliance & support services : Athena Spectrum Enterprise offers a cost-effective solution for data management, ILR creation, and regulatory compliance, helping you streamline operations and reduce reliance on external resources.
